2020 VASM/SSS EXHIBITOR INFORMATION

Virtual Conference – November 12-13, 2020

The Southern Sleep Society has partnered with Virginia Academy of Sleep Medicine for the rescheduled 42nd Annual Meeting. We appreciate your continued support and patience during this unprecedented year and want you to know that we are still planning a conference that will offer you the opportunity to engage with participants from two well-respected Associations. 

Whether you registered for the Southern Sleep Society meeting in March or registering for the first time or want to re-register, we have registration options for you.  The virtual conference opens with educational sessions on Thursday, November 12, 2020 (4:00-600 PM) and commences all day Friday, November 13, 2020 (8:00 AM-5:00 PM). Break time is built in the conference agenda to allow participants to visit the Virtual Exhibit Booths.

Registration Options

If you plan to participate in the November virtual conference, you are able to register through Southern Sleep Society or Virginia Academy of Sleep Medicine.  If still registered from the March, 2020 SSS meeting, registration options are below:

Apply registration fees to the May, 2021 SSS in-person conference in Charlotte, NC.

Apply part of my registration fees for the VASM/SSS Virtual Conference and APPLY remaining funds toward the May, 2021 SSS in-person conference in Charlotte, NC.

Use part of my registration fees for the VASM/SSS Virtual Conference and REFUND remaining fees (minus 3.99% convenience fee).

Refund registration fees from the March, 2020 conference (less 3.99% convenience fee).

VIRTUAL EXHIBIT BOOTH INFORMATION

Exhibitors will receive an attendee list with participant contact information, including email addresses, prior to the opening of the conference.   When participants stop by your virtual booth, you can refer to the list to keep track of your visitors. We are urging all Exhibitors to reach out to participants on the list at least once prior to the conference and once afterwards, unless they opt out of further contact.

We are requesting that vendors provide the names of the first five (5) visitors to their virtual booth and send that information to Susan McConnell (smcconnell@ramdocs.org).  These names will be provided gift cards.  The gift cards will be sent out with a note thanking them for visiting the specific booth with the company representative’s contact information.

Virtual booths will officially open on Thursday, November 12 (3:00-4:00 PM) and will re-open on Friday, November 13, (7:00-8:00 AM and 11:30AM – 12:30PM).  These are the official break times in the conference; however, exhibitors are free to leave your meeting open all day and set up different times to meet with people who might not be able to make it during the specific break times.  It is up to Exhibitors to work out a schedule that works best for you.

All Exhibitors must send the link and passcode for your virtual meeting to Susan McConnell for the virtual booth. Exhibitors may use any platform of their choice (Google Meet, Zoom, etc.). The link and passcode information will be published on the agenda and on the VASM website.

Exhibitors should also submit a company logo along with a company description, representative’s contact information and links to any products, services and a weblink. This will be posted on line as your Virtual exhibit booth link.

Finally, the chat feature will be open during the conference.  The Exhibit fee includes a certain number of meeting registrations (depending on the level of support) so representatives will be able to listen to the meeting and chat. Exhibitor representatives should not interject company-specific or product-specific commentary during the conference presentations. Exhibitors will be able to send out their contact information in the chat box.
