Exhibitor Prospectus

Exhibitors are invited to register for the 35th annual Southern Sleep Society meeting. Early registration ends on January 31, 2013. Registering early assures a spot for your company to particpate in one of the most unique and well-attended sleep conferences in the country and also offers a $200 discount. The Southern Sleep Society conference is preceded by the annual Technologist Course.

The Southern Sleep Society is the oldest regional sleep conference in the country. The 35th annual meeting presents another program centered on nationally recognized presenters, cutting edge research and clinical presentations and attendance by an audience that includes physicians, clinical researchers, sleep technologists, respiratory therapists, psychologists, nurses and other allied health professionals. The Society's history shows that our largest meeting attendance is always expected when we meet in Texas. We expect at least 250 participants.

NEW THIS YEAR

  • Improved Opportunities for Exhibitors to meet with Meeting Participants: Exhibits will open on Thursday, March 7, 2013 at 5:00 p.m. with a opening reception so that exhibitors can meet with Course participants at the end of the course.
  • Continuing education credits for Nurses will be offered this year through The California Board of Registered Nurses, Sleep for Nurses.
  • The meeting offers a total of 21.5 educational credits for technologists that attend all four meeting days. Participants attending the Southern Sleep Society meeting only will earn up to 14.5 CME credits.
  • Exhibitor representatives who are sleep technologists or respiratory therapists can earn continuing education credits by attending educational tracks at no additional cost.

HOTEL RESERVATIONS AND SHIPPING

GUEST ROOM RATES

The Hotel has confirmed the following guest room rates:

Single Occupancy: $ 165
Double Occupancy: $ 165
Triple Occupancy: $ 190
Quadruple Occupancy: $ 215

Room rates are quoted exclusive of applicable state and local taxes (which are currently 13%) or applicable service, or hotel specific fees in effect at the Hotel at the time of the meeting.

RESERVATION METHOD

HYATT REGENCY DALLAS currently recommends Passkey web based reservations. This complimentary service is offered by HYATT REGENCY DALLAS to provide attendees with an electronic reservations interface that is customized for Southern Sleep Society.

Reservations may be made, modified or canceled by individuals on-line at the Southern Sleep Society's URL. Attendees may also make reservations by calling Central Reservations at 1-888-421-1442 and referring to the Southern Sleep Society. Reservations must be made on or before the cutoff date. The "cut-off date" is 02/13/13. Reservation requests received after the cut-off date will be based on availability at the Hotel's prevailing rates.

EXHIBIT RENTAL

The Southern Sleep Society is renting exhibit space for each exhibitor that registers to attend the conference. The exhibit rental includes booth space and up to 3 representatives at no additional cost. A 6-foot draped table is provided along with two chairs. Exhibitors requiring backdrops and exhibit space greater than what is required for a 6 foot table must notify Southern Sleep Society in advance. The Hotel requires that Southern Sleep Society provide a fully completed data sheet for each Exhibitor that rents a booth for its event. Exhibit includes:

  1. Set-up and dismantle days
  2. General lighting
  3. Standard heating and/or air conditioning.
Exhibit Rental does not include:
  1. Drayage
  2. Decoration
  3. Labor
  4. Guard/security service
  5. Cleaning or janitorial services
  6. Electrical, Gas or Water

Due to limited storage space at Hyatt Regency Dallas, exhibitors should plan to send packages no earlier than 3 days prior to show dates. All shipments must be properly labeled with: Hold for Southern Sleep Society Meeting, March 7-10, 2013. Please include name of Exhibitor Representative. Additional options:

Exhibitors and commercial supporters may also opt to purchase a website banner ad which will be placed on the Southern Sleep Society's website for one year at a cost of $200.00. Commercial supporters are not required to be in attendance at the meeting in order to purchase a banner ad on our website.

Exhibitors and commercial supporters are urged to become corporate members of the Southern Sleep Society. Corporate membership dues are $50 and provide access to membership meeting minutes and a vote in planning future meetings.

Exhibitor representatives attending the meeting are invited to participate in the annual golf tournament on Saturday, March 9, 2013 at Coyote Ridge Golf Club at 1:00 p.m. Participation in the Founders Award banquet offers another opportunity to socialize and network with customers.
